Verbatim Analysis

The process of reviewing and analyzing customers’ exact words from open-ended survey responses and other text-based feedback.

Verbatim analysis involves studying the exact words customers use in open-ended feedback. Unlike quantitative metrics that reduce experiences to numbers, verbatims preserve the richness, specificity, and emotional texture of customer feedback.

Verbatim analysis serves multiple purposes. At the tactical level, individual verbatims reveal specific issues that need attention. At the strategic level, patterns across verbatims surface systemic themes. At the communication level, sharing customer verbatims with leadership and cross-functional teams creates empathy and urgency in a way that charts and graphs cannot.

Manual verbatim analysis is feasible for small volumes but does not scale. Reading and coding 50 comments is manageable; reading 5,000 is not. AI-powered text analytics can process large volumes automatically, but human review of a sample remains valuable for quality assurance and for catching nuances that algorithms may miss.

The most impactful use of verbatim analysis combines automated theme and sentiment detection with curated "voice of customer" summaries. Automated analysis provides scale and consistency; human-curated highlights provide the emotional resonance that drives organizational action.
